POSITION:          Board Relations and Individual Giving Assistant

Reports to:         Director of Development and Associate Director of Development



The Board Relations and Individual Giving Assistant provides administrative support to the Board of Trustees and assists with the fundraising responsibilities of the Individual Giving team of the Development Department.



  • Support the administrative needs of the Director of Development and Board Relations Manager, including:
    • Assisting with the preparations and set-up for meetings of the Board of Trustees, including:
      • Meeting calendar and scheduling, reminders and RSVP’s
      • Preparation of meeting packets, phone set-up and meeting logistics
  • Assisting the Director of Development with solicitations and donor meeting preparation
  • Preparing and filing acknowledgements for Trustee contributions, as well as annual Trustee Activity Reports.
  • Take minutes for the meetings of the New Work Development and Nominating Committees.
  • In collaboration with the Associate Director of Development and Manager of Individual and Major Gifts, provide support in the area of Individual Giving by assisting with: preparation of Premiere Society and individual sponsorship solicitations; pledge reminders and invoices; copies and files of all major donor solicitations; data entry of solicitations in Tessitura and maintenance of accurate records.
  • Assist with the acknowledgement, recognition and tracking of gifts, including: preparation of Premiere Society and individual sponsor as well as trustee-solicited gift acknowledgements; creation of pledge reminders and invoices, as needed; maintenance of necessary gift reports and reconciliation.
  • Oversee all individual sponsor and donor recognition and benefit fulfillment, including: Playbill salute ads and listings, lobby tiles, education donor recognition, annual installation of the lobby donor wall, and areas of the Goodman Theatre website; execute all sponsor and Premiere Society donor perk fulfillment; other special perks for donors as needed.
  • Serve as key member of the gift processing function of the Development Department with responsibility for processing Trustee, Premiere Society and Individual Sponsorship gifts.
  • Prepare agendas and materials for weekly Individual Giving team meeting and maintain minutes/task lists from those meetings; provide information for weekly department meeting agenda and Fund Report.
  • Assist Development Department staff in the execution of and follow-up to events.
  • Provide primary administrative and clerical support to the Individual Giving team, including physical files and electronic records and preparing letters and other external and internal written or electronic communications as assigned.
  • Perform related duties as assigned.



  • Bachelor’s Degree
  • 1-3 years of development or related experience
  • Experience in managing multiple administrative functions, preferably in a development office
  • Commitment to accuracy and quality with a demonstrated ability to manage sensitive information
  • Strong written and interpersonal communication skills
  • Expertise in Microsoft Word, Excel, and Powerpoint; Expertise in Tessitura software preferred
