Personal Assistant to the CEO | The Conservation Center

The Conservation Center is soliciting applicants to join the team in a role supporting the CEO. Role responsibilities include running business errands, maintaining a calendar of events, and assisting with outgoing correspondence. The ideal candidate for this position is a self-starter with a positive, energetic demeanor who can work well in fast-paced environment. 

●     Assist CEO to achieve her primary business goals and increase efficiency

●     Plan, schedule, and verify travel arrangements for airline, hotel, and car reservations, including all business and personal travel

●     Manage calendar: schedule appointments and conference calls, and send invitations to the appropriate parties

●     Manage, respond, and take appropriate action with the CEO’s email. Filter email and create to-do lists

●     Manage contacts: Update contacts in the CEO’s list frequently and accurately. Ensure all contacts are syncing between electronic devices

●     Make dining reservations and arrange, coordinate, and manage special events, office parties, and holiday parties

●     Run personal errands as needed. This includes shopping, post office, and other personal tasks that will increase the efficiency of the CEO

●     Arrange and manage service providers and supervise projects for the CEO’s residence as needed

●     Assist with generating and organizing content for the CEO’s lectures and conference presentations

●     Manage the CEO’s art archive and personal website

●     Receive visitors and answer phone calls; personally handle requests for routine information and redirect other inquiries to the appropriate staff

●     Anticipate and execute other professional or personal tasks as needed

Skills & Qualifications: 

●     Bachelor’s degree or equivalent experience required

●     Valid driver’s license with clean driving record

●     Strong sense of responsibility and ability to complete tasks accurately and with minimal supervision

●     Ability to maintain confidential and sensitive information

●     Impeccable written and oral communication skills. Superior writing, grammar, and syntax are required

●     Must exhibit excellent organizational and time management skills, and possess the ability to multi-task and work within strict deadlines

●     Must be comfortable working in a fast-paced environment

●     Must exhibit a positive attitude and willingness to assist with any personal or business matter needed

●     Background in fine art, art history, or curatorial studies is a plus

●     Superior accuracy and attention to detail are required

●     High proficiency with Microsoft Office and Outlook are required

●     Ability to adapt to new software platforms and troubleshoot technological issues is essential
